We are currently recruiting for a high energy, experienced Executive Assistant looking to be challenged and to grow within the company.  The ideal candidate is a quick learner and thrives in a fast-paced environment.  We are looking for a strong multitasker with great attention to detail that is a self-starter and works well independently. This role will have exposure to all departments and levels of management.  In addition to general administrative duties, calendar management and travel coordination, this role will be responsible for office management duties, including processing mail, managing office supplies and equipment, assisting with company events and ensuring the Venuetize office is a great place for the team to work.  The Executive Assistant will also assist with accounting operations, bookkeeping, expense report review and special accounting projects, as needed. This role will also assist Human Resources with onboarding duties, benefits administration and managing time off requests.  The Executive Assistant role is a highly visible role as it will support the senior management team in a number of efforts and projects.

  • General administrative duties, including but not limited to:
    • Calendar management
    • Organizing and schedule meetings and appointments
    • Managing and booking travel arrangements
    • Drafting correspondence, including emails, letters and memos
    • Filing, scanning and general organization
    • Processing mail
  • Office management responsibilities, such as:
    • Ensuring that the office space is well maintained
    • Managing office equipment and maintaining office supplies
    • Conference room calendar management
    • Coordinating meetings, company parties and events
    • Management of access cards
  • Bookkeeping activities, including entering invoices and following up on AR collections
  • Review and reconciliation of expense reports
  • Assisting HR with onboarding, benefits administration and payroll processing
  • Managing corporate mobile phone program
  • Special projects, including annual 1099 processing and state tax registrations and compliance


  • Minimum of an Associate’s degree in business-related field
  • At least 3 years of administrative experience supporting executive management in a fast-paced environment
  • At least 2 years of bookkeeping experience
  • At least 1 year of experience working in a rapidly scaling startup
  • Excellent written and verbal communication skills
  • Tech savvy with the ability to quickly learn new software and programs
  • Quickbooks experience, preferred
  • Excel skills, highly preferred
  • Discretion and confidentiality

  • Comfortable communicating with all levels of management as well as with external stakeholders, including customers and vendors
  • Experienced in bookkeeping and day to day AP and AR activities and operations
  • Highly analytical and well organized
  • Able to prioritize multiple projects and assignments, meet tight deadlines and respond quickly to changing priorities
